The Travel Coordinator makes professional, accurate, cost-effective travel arrangements for all clients within company guidelines and standards for excellent customer service.
Collect travel request form/billing sheet from assignment coordinator
Work with doctor to confirm travel requirements/preferences
Responsible for booking all travel (including, but not limited to: flights, rental car, accommodation/hotel)
Coordinating travel for ongoing assignments with the Assignment Coordinator/Provider
Changing or cancelling travel depending on the needs of the team, the locum physician, or the client
Obtaining travel quotes as requested
Obtains necessary signature to secure leases on long term housing
Tracks leases, damage deposits, and cleaning fees
Submits “Notice to Vacate” within the appropriate time period to ensure no additional charges after lease end
Pay monthly housing bills and obtain receipts as needed
Responsible for obtaining receipts for all travel (i.e. hotels, rental cars)
Tracks a reconciles charges relating to domestic/international travel
Maintain log of receipts to submit to accounting with credit card/invoice reconciliation\
Sends tasks to Payroll regarding Client billings and provider deductions
Process provider reimbursements
Send travel confirmation to doctor once confirmed to verify accuracy
Prepares final details and sends to the Assignment Coordinator
Scanning confirmations to database file and saving them to Travel Itinerary
Compile an Assignment Cover Page for On-Call Binder to be included with the travel confirmations
Maintains and removes past travel from on-call binder
Takes incoming calls pertaining to domestic/international travel
Assisting the Licensing and Credentialing Coordinators
Other clerical duties as assigned
